Terms for using Taltrax.
These terms cover operator accounts, authorised users, trial access, subscriptions, support, data, and the limits of a record-keeping product.

1. Agreement and eligibility
By creating or using a Taltrax account, the operator and each authorised user agree to these terms and the Privacy Policy. An operator administrator confirms they are authorised to act for the operation and invite users.
2. The service
Taltrax provides record-keeping, operational visibility, and decision-support tools for CASR Part 137 aeroplane aerial-application operations. Features include flight and duty records, convenience recency and logbook views, aircraft and maintenance visibility, work orders, documents, safety reports, checklists, registers, roster status, certifications, and operator administration.
Important: Taltrax is a record-keeping and visibility aid. It does not ensure regulatory compliance, is not CASA-approved, and does not replace an official logbook, an operator’s approved procedures, professional advice, or the user’s responsibility to verify records and limits.
3. Trial and pricing
The standard offer is a free trial with no card required. The published annual subscription is $1,500 AUD plus GST per operator and includes unlimited pilots. Taltrax will present the applicable billing details before a paid subscription is activated. Billing remains subject to any separate launch or account-readiness gate.
At trial expiry, the operator account may become read-only. A narrowly controlled one-save grace may be available for a flight-day form that was already open before expiry; it is not a general extension of the trial.
4. Operator and user responsibilities
- Enter accurate information and review calculated figures against official records.
- Keep individual credentials secure and do not share accounts.
- Invite only authorised users and review access when roles change.
- Do not upload unlawful, malicious, or irrelevant content.
- Maintain any records, approvals, reports, or systems required outside Taltrax.
- Notify Taltrax promptly of suspected unauthorised access or material errors.
5. Data ownership and permitted processing
The operator retains control of its operational records. Pilots retain rights in their personal information, subject to records the operator is required or entitled to keep. The operator authorises Taltrax to host, process, back up, transmit, and support the data only as needed to provide, secure, and lawfully operate the service.
Completed operator records remain with the operator after a pilot leaves. Before deactivation, pilots are prompted to export available personal records. After deactivation, a pilot may request the defined pilot-scoped export through support after identity and legal-hold checks. Taltrax supplies appropriately scoped data and does not adjudicate an employment dispute.
6. AI checklist drafts
When enabled, an operator administrator may choose to send extracted text from a checklist PDF to OpenAI to create an editable draft. The administrator must review every generated item before use. Taltrax does not treat generated content as approved operational procedure or regulatory advice.
7. Support and setup boundary
Support is available through support@taltrax.com, the in-app feedback widget, and the direct trial-operator phone channel provided during onboarding. The operating target for email is a response within 24 hours AEST; urgent trial requests receive same-day phone attention. These are operating targets, not a formal service-level agreement.
Included setup is two checklist templates and one register during the first 30 days. Further configuration is self-service or may be provided as separately billed work.
8. Cancellation and refunds
An operator administrator may request cancellation. Unless stated otherwise at purchase, access continues until the end of the current paid period and then becomes read-only. Requests made within 30 days of payment may be considered for a pro-rated refund for the unused portion of the annual period. Statutory rights that cannot be excluded continue to apply.
9. Availability, changes, and suspension
Taltrax may perform maintenance, correct defects, change features, or restrict access needed to protect users, data, the service, or third parties. Taltrax will avoid unnecessary disruption and will not intentionally remove operator data outside the documented retention, legal, or account-deletion processes.
10. Liability and regulatory decisions
Users remain responsible for operational, regulatory, safety, maintenance, and employment decisions. To the extent permitted by law, Taltrax is not liable for a decision made from unverified, incomplete, delayed, or incorrectly entered records. Nothing in these terms excludes, restricts or modifies rights or remedies that cannot be excluded, restricted or modified under the Australian Consumer Law or other applicable law.
11. Account deletion and legal requests
An operator deletion request enters a 30-day cancellable, read-only grace period before controlled deletion. Taltrax may preserve information subject to a legal hold or lawful request. Legal requests are assessed for authority, scope, preservation needs, disclosure limits, and whether notice is permitted.

13. Governing law
These terms are governed by the laws of Queensland, Australia. The parties submit to the non-exclusive jurisdiction of the courts of Queensland.
